Midland PRIMHD Project Completes 30 June 2011
The Midland PRIMHD project comes to an end on the 30 June 2011. As you are aware this project was funded by the Ministry of Health and has been underway for the last two years. Vivienne and Belinda have worked tirelessly across the region to ensure that all of the Stage 3 - 5 NGOs meet compliance.
We are in the process of evaluating the project implementation. Thank you to everyone who completed the survey which is now closed. An Evaluation Implementation report is currently being collated.
Farewell to Midland PRIMHD Coordinator - Vivienne Martin

The PRIMHD project funded by the Ministry of Health came to an end on the 30 June, this in turn was the last day for the Midland PRIMHD Coordinator Vivienne Martin who initially joined the team in July 2009.
The Midland MH&A team would like to acknowledge and thank Vivienne for her expertise and the work she has done within the region to ensure our services are PRIMHD compliant and supporting the team with regional forums and other initiatives.
Vivienne's bubbly personalility will certainly be missed and we wish her well for her furture endeavors.

Farewell to Midland PRIMHD Technical Support Coordinator - Belinda Walker

We also farewelled Belinda Walker, Midland PRIMHD Technical Support Coordinator alongside Vivienne Martin. Belinda joined the team in June 2010 to assist Vivienne with PRIMHD in the Bay of Plenty, Tairawhiti & Lakes districts to train services and ensure they were reporting as required.
Belinda was successful in securing the Midland PRIMHD Decision Support Coordinator role and resumed employment with the team on the 11 July.
Te Pou and Midland PRIMHD NGO Workshops - 2011
Te Pou in conjunction with Midland Mental & Addiction Regional Network is offering five half day trainings throughout the Midland for those working in mental health NGO’s. The training session will help people understand mental health PRIMHD information and why it is important to collect. These workshops will particularly useful for those NGOs that are or will be collecting PRIMHD data and want to know how to use PRIMHD to benefit the organisation.

PRIMHD Implementation Evaluation
As the rollout to NGO’s is nearing completion the Midland Regional Network will undertake and evaluation of how the project was implemented in our region. We will be using an electronic survey which will be send to all Stage 3-5 mental health and addiction providers who participated. The survey will contain sections on technical aspects, accessing information, entering PRIMHD data and Midland PRIMHD support.. We would appreciate providers and their staff completing the survey and you can expect an email with the link to be sent to you over the next month. The final evaluation report will be made available on our website in June 2011.
PRIMHD Data Quality and Compliance
The Ministry of Health is now conducting PRIMHD detailed data quality analysis to ensure that providers are submitting activity using correct codes. These reports also identify double entries and referrals, as well as team codes that are not being utilized. As your individual provider data is analyzed your Midland PRIMHD Regional Coordinator will contact you to discuss any amendments that are needed and provide additional training if required.
Each month now we also receive a report from the MoH on the number of contacts each provider has entered. For those who have been compliant for some time we are able to distinguish any significant fluctuations in data submission.

Manaaki Trust is a residential provider that has been operating since 1991 and is located in Taumarunui.
They went live in October using PRIMHD Online and has submitted all their data for the month of September. (Fantastic)

PRIMHD Training at Hanmer Clinic in Tauranga

On the 04 October Belinda Walker trained 10 people from Hanmer Clinic and also the Midland Administrator, Akatu Marsters to use PRIMHD online.
On arrival we were greeted with a warm welcome and morning tea, this gave us an opportunity to meet and mingle with staff prior to the training session.
There were some nerves in the room as computers are not everyone’s best friends and some even commented “I am still trying to get the hang of MEDTECH”. Belinda assured everyone that PRIMHD online is straightforward and that the main thing to remember is, the capturing of data is not about the service but about the clients journey and understanding the use of the codes.
We went through some scenario’s which everyone came out with an A+ and by the end of the session everyone one felt competent and couldn’t believe how quickly they grasped PRIMHD online, maybe it could be the result of a excellent trainer.

Lakes – PRIMHD Cluster
The Lakes PRIMHD cluster is made up of nine providers from Rotorua, Taupo and Turangi and is hosted at Pretoria Lodge. The idea of submitting data through one site is a culmination of trying to make PRIMHD more sustainable and affordable for small providers and fits well with the collaborative relationships within Lakes.
Pretoria Lodge has been submitting data for some time now and the manager Ian Bale has been great to work with in getting the cluster up and running utilizing his established VPN. Ian designed and developed a patient management system, CID that is used by most of the residential providers in Lakes. CID (Client Information Database) is able to print reports that can then be entered into PRIMHD Online. Initially the cluster is with these providers only, but has grown to include a diverse group - we have residential providers, psychologists, housing, activity programmes and consumer run peer support. Ian’s commitment to this project is really appreciated.
It has also been the support of the Planning & Funding Portfolio Manager, Marita Ranclaud that has made this cluster both possible and viable. Marita is funding an FTE until 30 June 2011 to allow for the set up and entry of data for this group. This will provide time for the cluster to embed and for a collective arrangement to be formulated for provider contribution toward the resourcing.

Maree Adams has been appointed to the position of PRIMHD Host Coordinator at Pretoria Lodge and is doing an excellent job in setting up the existing clients for each provider and entering activity data submitted by them.

Beverley House (Contact Trust) – Rotorua
Beverley House is a small provider of activity based programmes and training in Rotorua. When I first approached them about PRIMHD reporting they made the process really easy for me with their welcoming approach and ‘let’s get on with it’ attitude. We were able to get the documentation done quickly and they took up the challenge to start collecting data manually from the start. As soon as they were all set up, I put an afternoon aside to train for the PRIMHD Online data entry and support them to enter all their existing clients. Kerry and Sylvia picked it up so quickly they were able to tell me to leave them to it in under an hour – they went LIVE that day!!

I was very impressed by the team at Beverley House who took things in their stride with all the changes whilst continuing to provide services, maintaining such respectful and interaction with service users despite the stressful situation. Great work

The Maniapoto Marae Pact Trust
Maniapoto Marae Pact Trust was established to support the Maniapoto community and provides a range of social services including mental health. The mental health services they provide are residential, day activity programmes and community support. There aim is to improve the holistic well being of Maori and those people living in the tribal area of Maniapoto.

On the 27th of October training was organised for PRIMHD Online. I like to take this opportunity to say a big thank you to the staff as PRIMHD Online was not available; the Ministry of Health had a unexpected fault with their system. Consequently their training was carried out by the PRIMHD Online training manual. Despite these issues we had an awesome training day. A couple days later contacted them to see if they were able to log on and now Maniapoto Marae Pact trust are now inputting PRIMHD data.

PRIMHD Roadshows Commence
Roadshows were completed in Tairawhiti and Taranaki in August and September. The Waikato district roadshows will be undertaken in October shortly followed by the Bay of Plenty and Lakes roadshows. Please watch this space for the flyers.
Midland Region PRIMHD Governance Group
The PRIMHD Governance Group will provide leadership and direction for the implementation of PRIMHD with the NGO Stage 3, 4 & 5 providers in partnership with the Midland Regional PRIMHD Coordinator to ensure the successful completion of the project. The group was formed March 2009 and will meet bi monthly or more frequently if required.
